First conversation
One or two calls to understand what you spend on, which data the work needs, how you would send it, how sensitive it is, and roughly how many systems or cost sources are in scope. If you need special handling for very sensitive data, we agree it here.

Scope and price in writing
A scope document with an agreed number of systems or cost sources, the contract, a confidentiality agreement and our data-handling terms. We deliver exactly the agreed scope. Any change goes through a written change request, which we estimate and price and you sign before that work starts.

Signature and deposit
Work starts when scope and price are signed and 50% of the fee (or of the setup fee) is paid.

Your data
Your team prepares, cleanses and sends the agreed data; our data request list says exactly what, from which systems and by when. If you would rather not send staff names, you give each person a code and keep the list of who is who.

Discovery and a signed baseline
Interviews, your data and a map of every system or cost source. You confirm in writing that the list is complete, so every finding rests on agreed facts.

Delivery
The analysis, or the setup of tracking, alerts and team reports, with your people in short workshops and reviews. Each deliverable has a review round.

Sign-off
The results meeting or handover. The engagement is complete when you accept the deliverables. The balance is invoiced at sign-off.

Beyond, if you want it
Nothing after sign-off is required: your team can run what was set up. If you would rather we keep it current, we offer monthly reporting, or we run a managed service for you; typical prices are on our Pricing page. Monthly services you choose run for a 12-month minimum, then month to month with 3 months' notice.
Which engagement to start with
Not every client starts in the same place. The AI and technology cost review is the quickest way to one agreed set of facts. If you already know where the problem is, the managed services start with their own discovery: cloud spend, AI spend or the whole technology estate. If you have had the review recently, a managed service does not repeat it; its scope and price reflect the work already done.

How your data is handled
- You prepare and send the data. The work needs your actual data, including names where it depends on them; your data is covered by the confidentiality agreement and the data-handling terms.
- Your work is done in its own workspace, used only for you. Your files are kept as an encrypted set of files in a protected space that only that workspace can reach.
- We use AI assistance. Your confidential data is processed only on our own machines and is never sent to cloud AI services.
- For very sensitive data, we can work inside a remote workspace you provide, or give you an image of our workspace to run on your side. We agree this before the engagement starts, and the price reflects it.
- On request, we delete everything at the end and give you a signed certificate of deletion: what was held, where, when and how it was destroyed, and by whom.
